Odoo or Microsoft 365: which one for your SMB?

Many business owners ask us the same question. Should I choose Odoo or Microsoft 365 ? In truth, the two do not play in the same league. One runs your office work. The other runs your business. Here is how to see the difference.

Two tools, two jobs

Microsoft 365 is office work

Microsoft 365 covers your teams' daily work. Professional email. Word, Excel and PowerPoint. File storage with OneDrive and SharePoint. Meetings and chat with Teams. It is the base for communicating and producing documents.

Odoo is business management

Odoo runs your business processes. Sales and quotes. Invoicing and accounting. Stock. Customer relationships. Purchasing. Each activity talks to the others in a single tool. It is the centre of your management, not your office work.

So which one do you pick?

The right question is not which one replaces the other. It is what you need.

  • Do you mainly want reliable email, shared documents and online meetings ? Then Microsoft 365 is enough.
  • Do you lose time between an invoicing program, a stock spreadsheet and a customer list ? Then Odoo brings it all together.
  • Many SMBs use both. Microsoft 365 for office work, Odoo for management. The two can even connect to each other.

How to decide without getting it wrong

Three simple questions help you choose.

  1. Where do you lose the most time today: on documents, or on management ?
  2. How many separate tools do you use to sell, invoice and follow up on customers ?
  3. Is your data scattered across several Excel files ?

If your answers revolve around management, Odoo brings the most. If it is communication and documents, Microsoft 365 comes first.

What about cost?

Microsoft 365 is paid per user, per month. The price depends on the plan. Odoo is also paid per user, plus the modules you turn on. It comes in a free version you host yourself, and a paid hosted version. In both cases, the real cost is not the licence. It is the setup and the training. A well-installed tool pays for itself fast. A badly configured one costs a lot in lost time.

The trap to avoid

Do not choose a tool for its features, but for your real needs. A full management program, badly configured, costs more than a simple, well-kept spreadsheet. The reverse is true too. The right choice depends on your size, your processes and your teams.
